This position will serve as the administrative assistant/receptionist to the dean’s office, assisting with general administrative functions that support daily office operations. These functions include, but are not limited to, conference room scheduling and technology operations such as teleconferencing; coordinating work order requests and processing; preparing mass mailings (annual report, event invitations, etc.); assisting with planning college meetings and events (awards program, State of the College); providing administrative support to assistant dean (undergraduate program)/ associate dean (graduate program); assisting with sending out budget reporting; completing reimbursement for travel processes; making purchases for events; and assisting other school administrative assistants fiscally and administratively as needed.
Required Qualifications:
Working knowledge of effective customer service and problem-resolution techniques when serving diverse customers. Working knowledge of a variety of software programs, including Access, Excel, Word, Outlook, or other similar word processing and e-mail programs. Some knowledge of administrative policies and procedures. Strong written and oral communication skills. Strong organizational skills. Strong computer skills to include data entry and typing skills. Demonstrated ability to proof read documents and enter information accurately. Demonstrated ability to plan daily work including prioritizing and re-prioritizing based on changing needs of the work environment. Demonstrated ability to develop and maintain positive interpersonal relationships with departmental members and the campus community. Some customer service experience in an office environment. Basic experience using PC-based word and spreadsheet processing software.
Preferred Qualifications:
Associate in Business or in a related field. Demonstrated ability to use data and information to prepare college reports. Demonstrated ability to learn and use new software programs to complete assignments and college reports. Some familiarity with handling surveys, processing reports. Some experience in a higher education setting. Some experience with program coordination.
Conditions of Employment:
Working hours are 8:00am to 5:00pm Monday through Friday in office.
