PRIMARY RESPONSIBILITIES:
Human Resources Support
- Assist with the day-to-day efficient operation related to HR needs.
- Ability to interact with the public, staff, and administrators in a fast-paced environment while maintaining professionalism.
- A key member of the HR team, ensuring critical HR functions, particularly relating to hiring and employment and recruitment efforts, occur in a timely and accurate manner.
- Create and maintain New Hire forms & packets for prospective employees.
- Responsible for recruitment areas and applicant tracking system for posting positions, closings, response to applicants, weekly open position lists, posts on various recruitment sites, etc.
- Maintains current job descriptions for all District positions.
- Maintains current evaluation forms for all positions, not in the state performance management system.
- Facilitates and processes state-mandated fingerprint background checks for all staffing needs including New Hires, rehires, preschool, coaches and volunteers
- Facilitates hiring of coaches for all sports, working with the athletic directors of the middle and high schools.
- Works closely with payroll manager to ensure new hire information is provided for HRIS system entry.
- Facilitates required online training for new hires and all staff annually. Enters new hires into the system and monitors, follow-up for completion.
- Able to become proficient with HR onboarding and employment file system as well as HRIS system.
- Ensures employment files are kept updated and filing is regularly completed.
- Tracking of various personnel-related forms such as performance evaluations, required staff training, and HR acknowledgments and paperwork.
- Maintain personnel files and related documents in compliance with state and federal laws and district policies including paper and electronic files, I-9 forms, and employee medical files.
- Organizes and is responsible for the annual staff Benefits Fair with HR Generalist and the HRD
- Responds to inquiries regarding District employment
- Provides support for Substitute employment inquiries and the hiring process.
- Regularly checks the applicant system for new applicants to provide information as needed.
- Manage monthly district credit card reconciliation.
- Manage HR budget tracking on a monthly basis
- Responsible for workman’s comp first report of injury entry and follow-up with admin and employee. Monitor progress with the provider and update as needed.
- Represent Human Resources at District-wide, individual school and community special events (job fairs).
- Ability to carry out assigned projects to their completion with minimal supervision and work independently on a multitude of tasks.
- Able to prioritize, and problem-solve in a fast-paced environment.
- Assists with clerical needs for Human Resources as needed.
General Office management duties
- Support Superintendent and district directors as needed
- Maintains supply of current forms, applications, and other documents
- Mail/Package Duties:
- Retrieve, sort, open, and distribute all incoming mail at the district office.
- Post all outgoing mail for the district.
- Manage all UPS/FedEx mailings.
- Maintain DO office mailboxes for staff and interoffice mail needs. Support internal mail person as needed.
- Arrangements for the repair & maintenance of office equipment (copiers, postage meter, shredder.)
- Orders supplies and other materials for the District Office
- Answers incoming phone calls, communicates messages, greets and assists walk-in visitors
- Maintain cleanliness of the office, conference rooms and kitchen area
- Maintains hallway displays and District plaques
- Monitors conference room use; maintains a clean, tidy space ready for use. Assist with calendar management and catering orders as requested
- Oversees the issuance of District office building keys/access
- Assists with District staff ID badge system for granting appropriate access to staff members
- Assists in the operation of DNA system to set/secure door locks throughout buildings
- Assists District Office staff as requested; crossed-trained to act as back-up for Executive Administrative Assistant duties for Board of Education meetings as needed
- Other duties as assigned
QUALIFICATIONS:
- Bachelor's degree or 4 years work related experience
- Previous experience in Human Resources role strongly preferred
- Bilingual ability preferred
- Computer proficiency with Google and Microsoft Office Suite
- Ability to maintain confidentiality
- Excellent Grammar in speech and writing
- Excellent problem-solving skills
- Accounting skills
- Supervisory & organizational skills
- Ability to multi-task and handle a high volume office setting.
- High level of proficiency in clerical, secretarial, 10-key, computer skills and software programs
- Excellent interpersonal and communication skills for interacting with students, staff, co-workers, administrators and parents
- Working knowledge of basic office procedures and office machines

Mathematical Skills: Ability to calculate figures and amounts such as interest, discounts, commissions, proportions, percentage, circumference, and volume. Ability to apply concepts of basic algebra, and geometry.
Reasoning Ability: Ability to define problems, collect data, establish facts, and draw valid conclusions. Ability to interpret an extensive variety of technical instructions in mathematical or diagram forms, and deal with several abstract concrete variables.
